Choosing Accessible Video Conferencing Platforms for Work and Everyday Life

Video conferencing is part of daily life for work, school, and staying connected. Platforms like Zoom, Microsoft Teams, and Google Meet offer accessibility features that support individuals with disabilities and improve communication for everyone. Many people spend hours in video meetings each day. Accessible features such as captions, screen readers, and interpreter visibility help ensure that all participants can fully engage, understand, and contribute.

Video conferencing platforms are available on desktop computers, laptops, and mobile devices. This flexibility allows users to stay connected on the go. However, the appearance and layout may differ between devices, so it is helpful to become familiar with each platform across both desktop and mobile experiences.

Most video conferencing platforms offer accessibility features with:

  • Free versions with limited features
  • Paid subscriptions with additional tools such as advanced captions, recordings, and administrative controls

Many companies, agencies, and organizations select a platform based on cost, security, and internal needs. Because of this, users may have limited control over which platform is used. If you need specific accessibility features, it is helpful to:

  • Check with your organization about available tools
  • Share your communication preferences or access needs
  • Ask about reasonable accommodations such as real-time captions or ASL-English interpreters

Below are three common platforms and the accessibility features they offer.

Zoom Accessibility Features

  • Automated captions and live transcription
  • Recording options for later review
  • Background noise reduction
  • Multi-spotlight and pin features for sign language interpreters
  • Screen reader support with customizable audio announcements
  • Zoom aligns with accessibility standards such as WCAG 2.2 AA and Section 508.

Microsoft Teams Accessibility Features

  • Live captions and transcription
  • Immersive Reader to customize text and display settings
  • Sign language mode to highlight interpreters
  • Pop-out captions for flexible viewing
  • Screen reader compatibility for navigation and scheduling

Google Meet Accessibility Features

  • Live captions built into meetings
  • Screen reader support and compatibility with external tools
  • Spoken feedback for navigation
  • Paired tile feature to keep interpreters and speakers visible together

Tips for More Accessible Video Meetings

Simple adjustments can improve communication and participation for everyone:
  • Minimize background glare so your face is clearly visible
  • Reduce background noise and mute your microphone when not speaking
  • Check camera settings to limit auto-zoom or motion, especially when using sign language
  • Position your camera at eye level for better visibility
  • Ensure captions are turned on when available

Choosing the Right Platform

When selecting a platform, consider captions, interpreter visibility, screen reader compatibility, and customization options to support different needs in meetings. Accessible video conferencing supports clear communication and inclusive participation. Using these features can improve experiences in both personal and professional settings.
